Schedule a TMA Room

Arts Building Room Scheduler

This form is used to request rooms for class-specific student projects in the Arts Building.

In accordance with BYU policy, Arts Building spaces are available only to current BYU faculty, staff, and students for projects directly related to BYU classes or hosted by approved BYU associations. If you are a student working on a class project in which you are currently enrolled, or participating in an approved BYU association, you may use this form to request rehearsal or event space.

If you are involved in an off-campus group or project (whether as faculty, staff, student, or community member), you may not use BYU facilities without official sponsorship and departmental approval. For more information, please review the policy here:

Please note: being a BYU student does not automatically grant access to university spaces. These facilities are carefully managed resources of The Church of Jesus Christ of Latter-day Saints. If you are unsure whether your project qualifies, contact the TMA Department directly.

Arts Building Room Scheduling Policy

To schedule space, you must Visit the TMA Front Desk (open Monday–Friday, 8:00 AM–5:00 PM)

Rooms cannot be scheduled over the phone or via email.

Scheduling Requirements TMA Mask Club)

To reserve space for a TMA Mask Club, please be prepared with:

  • The name of your project 
  • The designated scheduling point person 
  • Confirmation that your rehearsal time works for your full cast/team 

(Do not reserve space before confirming availability—there is sufficient space for all projects.)

  • A written list of requested dates/times (especially if scheduling in person) 
  • Alternate dates/times in case your first choice is unavailable 

Rooms Available

There are 6 designated rehearsal spaces in the Arts Building:

  • ARTS 1131  
  • ARTS 1133  
  • ARTS 1137 – Starting in WINTER ‘27 (NO BLOCKS) 
  • ARTS 1213 (NO BLOCKS) 
  • ARTS 1225 A 
  • ARTS 1225 B 

*The Black Box Theatre is only available for Mask Clubs, Black Box Series and other performance rehearsals approved by Jennifer Reed.

Additional Arts Building rooms may be scheduled for non-rehearsal purposes such as:

  • Production meetings 
  • Writing sessions 
  • Student organization meetings 

Front desk staff can help identify the best space for your needs.

Scheduling Timeline

  • TMA 436 Mask Clubs receive priority scheduling at the beginning of each semester. 
  • No other groups may reserve rehearsal spaces until one week after the add/drop deadline. 
  • Non-rehearsal events may be scheduled after the add/drop deadline. 
  • After the priority window, all eligible projects may reserve rehearsal and audition time in available spaces. 
  • Same-day reservations (except the Black Box) are first come, first served. 

Weekly Hour Limits

To ensure fair access:

  • Mask Clubs 
    • Up to 8 hours per semester in ARTS 1203 (Black Box) (excluding tech rehearsals) 
    • Up to 10 hours per week in other rehearsal spaces 
  • Other Projects (Rehearsals) 
    • Up to 4 hours per week in rehearsal spaces (excluding the Black Box) 
  • Other Projects (Non-rehearsal use) 
    • Up to 4 hours per week in non-rehearsal rooms 

Note: There are no TMA-imposed limits for most main campus rooms (except the Wilkinson Center). These must be scheduled through the front desk.

Your Responsibilities

  • Your Responsibilities 
  • Keep items in their assigned room. 
    • Do not move furniture, equipment, blocks, props, or other items between rehearsal rooms. 
    • Students who move items will receive a warning. 
    • A second occurrence will result in loss of rehearsal-space privileges in the ARTS. 
  • Keep chairs in the rehearsal room. 
    • Chairs should remain in the room unless an activity requires them to be stored in the closet. 
    • At the end of each rehearsal or class, return all chairs to the room and organize them neatly against the wall. 
  • Keep rehearsal rooms clean and clear. 
    • When a class or rehearsal is not in session, the room should be clean, tidy, and free of all items except chairs. 
    • Remove all personal belongings, props, and other items when you leave. 
    • Throw away all trash. 
  • Return the room to its original state. 
    • Return all blocks to the closet. 
    • Organize chairs neatly against the wall. 
    • Return the piano to its designated corner. 
    • Remove all other items and trash from the room. 
  • Do not tape sets to the floor. 
    • Only BYU Theatre productions may tape sets to rehearsal-room floors. 
    • Student productions may not tape sets or other items to the floors. 
    • Taping a floor for a student production will result in a first warning. 
  • Clean up after every rehearsal. 
    • Students are responsible for leaving the room clean and ready for the next user. 
    • A first occurrence of leaving a mess will result in a warning. 
    • A second occurrence will result in loss of rehearsal-space privileges in the ARTS for the remainder of the academic year. 
  • Rooms will be regularly inspected. 
    • Front Desk secretaries will check rehearsal rooms throughout the day, including at the beginning and end of each day. 
  • Bring your printed confirmation email. 
    • You must bring a printed confirmation email to all scheduled rehearsals. 
    • If your reservation changes, notify the TMA Front Desk immediately so the space can be reassigned. 

Final Notes

  • Occasionally, departmental or college needs may require reassignment of scheduled rooms. If this occurs, staff will work to find the best alternative. 
  • On Mondays, Arts Building spaces may only be used until 7:00 PM. 
  • No events may be scheduled after the last day of classes. These are university-wide policies with no exceptions.
